This guide will help you set up email report sending from your own email address, step by step. Follow the instructions to configure the server, enter your login details, and test the connection to make sure your messages are sent successfully.
Step 1: Access Email settings
To set up your personal email preferences for reports, please follow the steps outlined below:
Step 2: Configure your personalized Email box
When a recipient clicks “Reply” to your email, their response will be sent to this address. If this field is left blank or deleted, replies will not be possible.
Set up your Reply-to-address here:
Configure the SMTP (Simple Mail Transfer Protocol) settings and follow the steps carefully to ensure your reports are sent successfully:
Sender Name (1) – Enter the name you want recipients to see in the “From” field of your emails. This could be your personal name, company name, or the system name that sends the reports.
Your Email Address and Password (2 & 3) – Provide the full email address and its corresponding password (or an app-specific password if your provider requires one, like Gmail or Outlook). Make sure this account has permission to send messages via SMTP.
Mail Server and SMTP Port (4 & 5) – Enter your provider’s SMTP server address and port. For example:
Gmail: smtp.gmail.com, port 587 (TLS) or port 465 (SSL)
Outlook: smtp.office365.com, port 587 (TLS)
Yahoo: smtp.mail.yahoo.com, port 465 (SSL)
Custom domain: Check your hosting or mail provider’s SMTP documentation.
Remember to save your settings at the end!
Step 3: Configure Advanced Settings if needed
Encryption Type (optional) - Choose the correct encryption method (SSL or TLS) to secure your email traffic. Using an unsecured connection is not recommended.
Authentication - Ensure SMTP authentication is enabled so the system can log in with your credentials before sending.
Test Connection - Once you enter all the details, send a test message to confirm that the configuration works properly.
And save ave the settings.
PLEASE NOTE!
For enhanced security, we advise against connecting your mailbox directly to Localo. Instead, please use a more secure option such as Postmark, Amazon SES, MailGun, or SendGrid.
