When to create a new workspace
Instead of sharing one Localo login with your team or clients, invite them to your workspace and decide exactly what they can access.
1 - Which option is right for you?
💡 In most cases, you don't need create a new workspace. A custom role with the appropriate permissions is enough.
2 - Who are you inviting?
Employees and colleagues? → Invite them as Team members.
They'll log in through app.localo.com and collaborate inside your workspace.
Clients? → Invite them as Guests.
They'll log in through localagency.app and only see what you decide to share.

2.1 Team members
There are two default roles available for team members.
Role | Permissions |
Owner | Full access to all features and settings. The only role that can access Billing and subscription settings. |
Member | Can use Localo features and edit content, but cannot access Billing. |
2.2 Guests (Clients)
Guests are designed for clients and external users. Guests always access only the Google Business Profiles assigned to them.
Unlike Team members, Guests don't access the standard Localo application. Instead, they sign in through your white-label client portal.
White Label
Guests (Clients) log in through localagency.app, where they see your workspace branding instead of Localo.
Upload your company logo to personalize your client portal (My Account → Settings → White Label → Custom Logo):
What can Guests (Clients) access?
For every Guest role, you decide:
which features are available
which sections are hidden
whether users can only view information or also make changes
which Google Business Profiles they can access
💡 Guests aren't limited to view-only access. Depending on the permissions you assign, they can view information or actively manage selected Localo features.
💡 Tip: Use Team members for your employees and Guests for your clients.
3- How to send an invitation?
Go to:
My Account
→ Team & Clients
Click Invite.
4. Enter one or more email addresses.
5. Select the type of access.
6. Select a role.
7. Choose which Google Business Profiles the user should access.
During the invitation process, you also decide whether the user can access all Google Business Profiles in the workspace or only selected ones :
8. Send the invitation.
The invited user will receive an email invitation.
The invitation is valid for 7 days.
💡 Once the invitation is accepted, the user can have to create their own password and gain immediate access to the workspace. Their login remains the one assigned to them when the account was created.
4 - How do permissions work?
Permissions define what each role can do inside your workspace.
For every feature, you can choose one of three permission levels :
Permission level | What it allows |
No access | The feature is hidden and unavailable to the user. |
View only | Users can view information but cannot make changes. |
Full access | Users can view, edit, and manage the feature according to their assigned permissions. |
💡 Roles can be edited at any time. Any changes you make are automatically applied to all users assigned to that role.
5 - What is a workspace?
A workspace is an independent working environment in Localo. Each workspace has its own subscription, billing, users, GBPs, connected Google...

When should I create a new workspace?
Create a new workspace only when you need to completely separate users, data, and billing.
